Enter your invoice value and invoice date first. Then type the supplier GSTIN and the buyer GSTIN, or type URP if the buyer is not registered. Document Type, Number and Date
Choose the document the goods are moving under: a Tax Invoice, a Bill of Supply, a Delivery Challan, a Bill of Entry or a Credit Note. Then type its number and date exactly as they appear on the document.
Two rules matter a lot here. First, the system follows a one invoice, one e-way bill rule. The government has stopped the generation of multiple e-way bills on a single invoice or document by any party, so if you try to use the same invoice number again, the portal shows an error. Second, the date cannot be too old. Since January 2025, the portal blocks any document dated more than 180 days before the generation date and returns error code 820. Transaction Type: Regular, Bill To Ship To, and More
This second transaction type field confuses almost everyone, but it is easy once you see examples.
- Regular is the simple case. You bill a buyer, and the goods go to that same buyer's address.
- Bill To Ship To is when you bill one party but send the goods somewhere else. For example, a shop in Delhi orders goods from you but asks you to deliver directly to its customer in Noida.
- Bill From Dispatch From is when your invoice comes from one place, but the goods leave from another. For example, your head office in Mumbai makes the invoice, but the goods leave from your warehouse in Bhiwandi.
- Combination of both is when both of the above happen together.

Supplier and Recipient Details
Here you fill the Bill From and Bill To details (the parties on the invoice) and the Dispatch From and Ship To details (where the goods actually leave from and go to).

Transport Details
This is Part B, plus a few extra fields.
- Mode of transport: Road, Rail, Air or Ship.
- Approximate distance: The portal calculates the distance between the two PIN codes and shows it. You can enter the actual distance, but only up to 10% more than the figure the system shows. So if the portal shows 655 km, you can enter up to 720 km. If both PIN codes are the same, you can enter up to 100 km.
- Transporter name and Transporter ID: Fill these if a transport company is carrying the goods. The Transporter ID is either the transporter's GSTIN or a 15 character Transporter Identification Number they get when they enroll on the portal.
- Vehicle type: Regular, or Over Dimensional Cargo for very large goods.
- Vehicle number: Type the vehicle registration number without spaces or dashes, like MH12AB1234. For rail, air or ship, enter the transport document number and date instead, such as the railway receipt or airway bill number.
